Job Purpose Summary:
To provide comprehensive, administrative and organisational support to the Chief Executive, ensuring the efficient and effective operation within a fast-paced, growing events company. The role requires sound judgement, discretion, and the ability to work within competing priorities while supporting strategic and operational delivery.
Key Duties:
- Day-to-day ownership of the Chief Executive’s diary
- Booking and co-ordinating meetings, travel, and logistics end-to-end
- Acting as first point of contact for routine enquiries
- Co-ordinate internal and external meetings, including hosting of guests and taking minutes
- Track actions arising from meetings and ensure timely completion
- Prepare briefing packs using available information
- Manage correspondence (post, email, other platforms) and information flow
- Make connections where executive team involvement is required
- Liaise with internal teams to ensure alignment on key priorities and deadlines
- Assist in organising company events and support delivery of key business projects
- Arrange complex travel itineraries and accommodation, often aligned to event schedules
- Maintain relationship with external providers e.g. travel agents, stationery suppliers etc
- Prepare expenses claims for settlement and credit card reconciliations
- Monitor use of travel and accommodation budgets
- Support maintenance of the Chief Executive’s stakeholder and compliance records
- Co-ordinate Chief Executive (and BSUP team) input to event guestlists
- Manage gift and stationery stock
- Provide on-site support at key events where required
- Organises within known priorities, resolves routine issues, applies judgement within agreed scope.
Essential Criteria:
- Proven experience as a PA at senior level
- Exceptional organisational and time-management skills
- Strong written and verbal communication abilities
- High level of discretion and confidentiality
- Proactive, able to anticipate needs, strong attention to detail and problem-solving capability
- Professional, resilient, team player with emotional intelligence
Desirable Criteria:
- Good understanding of protocol and precedent
- Knowledge of database management and principles of data protection
